Como personalizar meus status de contato
Contact statuses in the MagicPost Leads module say where each lead stands in your conversation: not contacted, contacted, won, and so on. MagicPost creates a default list, and you can rename, recolor, reorder, add, pin and delete statuses. Contact statuses are part of the Leads module, included in the Growth, Creator, Agency e Team plans and in the free trial. In an organization, the member needs a seat that includes Leads. In a Team organization, the list can be managed by the organization's admins instead of each member. The MagicPost Leads page presents the module as a whole.
The default statuses
MagicPost starts every Leads account with seven contact statuses: Not contacted, Contacted, In discussion, To follow up, Won, Lost and Not relevant.
The default contact status in MagicPost is the Not contacted preset, even renamed and whatever its position in the list. A lead whose status was never set shows that status in the table. Reordering the list does not change the default. If you delete the Not contacted preset, a lead whose status was never set shows No status in the table.
Open the status editor
MagicPost opens the Customize statuses dialog from three places in the Leads tab.
Click the status of any lead, then Customize statuses at the bottom of the list.
Click Customize, then Edit views, then Manage pinned statuses.
In the kanban view, click Customize, then Edit columns, then Customize statuses.
Edit the list
In the Customize statuses dialog of MagicPost, each status is one row.
Rename: type a new label. A label is required, and two statuses cannot share the same label.
Change the icon and the color: click the icon or the color of the row.
Reorder: drag the row. The order sets the order of the kanban columns.
Pin as quick filter: the status becomes a chip above your leads. No status is pinned by default.
Add a status: adds a new row at the end of the list.
Click Save to apply your changes. MagicPost limits the length of a label and the number of statuses in the list, and at least one status must remain.
Each MagicPost contact status also carries a follow-up rule: what happens to a lead's next action when the lead enters that status. The rule is Schedule an action, Change nothing, which leaves the lead's current action as it is, or Remove current action. In the Customize statuses dialog, the rule of each status sits at the right end of its row, in the When a lead enters column, for example Follow up in 2 days. Click it to change the rule, which is saved with the rest of the list when you click Save.
A MagicPost follow-up rule that schedules an action can set it the same day, after 1, 2, 3, 4, 7 or 14 days, or after any number of days up to 90. Delays count calendar days, weekends included. While you edit the rule, MagicPost shows the date a lead entering the status today would get, with Weekend next to it when that date is a Saturday or a Sunday.
Under the list of statuses, on your own Leads page, the MagicPost Customize statuses dialog holds one personal setting, Move the action forward when the lead engages with one of your posts. The morning email of due actions is not set in this dialog: it lives in Settings, tab Notifications, under Daily action reminders, and in the Actions tab. See How to filter and organize my leads.
MagicPost sets recommended follow-up rules on the default statuses until you change them. Contacted schedules a Follow up in 2 days, In discussion a Comment in 1 day, and To follow up a Follow up in 3 days. Won, Lost and Not relevant remove the current action. Not contacted and the statuses you add use Change nothing.
The order and the rules of your MagicPost contact statuses also shape the choices offered after a next action is done. In What's next?, on the table view, the kanban, the Actions tab and the lead card, MagicPost offers:
Move to followed by the next status of your list, for example Move to In discussion. MagicPost takes the first status after the lead's current one whose rule does not remove the current action. When that status has a rule that schedules, the option shows the action the rule will set and its day. Choosing it marks the action done, moves the lead and applies the rule of the new status.
Up to three statuses whose rule removes the current action, for example Mark Won, other than the lead's current status.
When a MagicPost next action has already been pushed back to a later day twice, its Reschedule menu offers to close the follow-up, for example with Already rescheduled 2 times. Close the follow-up?. It lists up to two statuses whose rule removes the current action, Mark Won and Mark Lost with the default list. Picking one moves the lead to that status, whose rule removes the action.
To find the MagicPost leads that sit in a status whose rule schedules an action but have no next action, pick View all leads in the ICP selector of the Leads tab, open Filters and tick those statuses under Status and No action under Next action. Then select the leads in the table view and use Next action in the selection bar to schedule one. The Actions tab does not list these leads. See how to filter and organize my leads.
Delete a status
In the Customize statuses dialog, click the delete icon of the status.
In Delete this status?, choose a status under Reassign existing leads to:, or choose Leave without a status.
Click Delete.
MagicPost deletes the status as soon as you confirm, without waiting for Save. Deleting a status never deletes a lead: the leads move to the status you chose, or keep no status.
If the status has a follow-up rule, the rule is deleted with it and the dialog says so. Next actions already scheduled on your leads stay as they are, and moving leads to another status this way does not trigger that status's follow-up rule.
The dates MagicPost records
MagicPost records two dates when you change the contact status of a lead.
Status changed is updated at every status change. It is a column of the leads table.
Contacted on is set the first time a lead reaches Contacted, In discussion, Won or Lost, and is not changed afterwards. It shows in the Pipeline section of the lead card.
MagicPost recognizes those four default statuses even after you rename them. A status you add yourself never sets Contacted on, and neither do To follow up and Not relevant. The dates are recorded the same way from the status list, from a kanban drag, from a bulk status change and from a message template linked to a status.
Statuses in the kanban
In the MagicPost kanban view, each contact status is a column, in the order of your list, after a first No status column. Dragging a card to another column changes the status of the lead. A lead whose status was never set sits in the No status column, even though the table shows it with the default Not contacted status.
Statuses managed by an organization
In a MagicPost Team organization, the contact statuses can be shared by the whole team. This starts the first time an admin opens the All members view or the view of a group on the Leads page of the organization: MagicPost then builds one list from the statuses of the admin and of the members.
From that point, a MagicPost member sees the notice Managed by your organization in the Customize statuses dialog and can no longer edit the list.
A MagicPost admin edits the shared list from the All members view or the view of a group, on the Leads page of the organization. The list is the same for the whole organization, whichever group is open. An admin can rename, reorder and add statuses there, but cannot delete one. See how to use Leads as a team.
Once created, the shared list of contact statuses stays in force in the MagicPost organization, even if Show the Leads view is switched off later in the organization settings. Admins edit the shared list from the Leads page of the organization only, so Show the Leads view must stay on.
A MagicPost Agency organization has no shared list of contact statuses: each client account keeps its own list.
FAQ
What happens to my leads if I delete a contact status?
The leads are kept. MagicPost asks where to move the leads that carry the deleted status: to another status, or to no status at all.
Why is Contacted on empty although I changed the status of the lead?
Because Contacted on is only set by four default statuses: Contacted, In discussion, Won and Lost, even renamed. A status you created yourself, To follow up and Not relevant do not set that date. Move the lead through one of the four statuses to record it.
Why can I not edit my statuses?
Your list is managed by your organization. When the Customize statuses dialog shows Managed by your organization, only the admins of your MagicPost organization can change the list. Admins see that notice on their own Leads page too: they change the list from the All members view or a group view of the organization Leads page.
Which status does Move to propose after a next action is done?
The first status after the lead's current status in your MagicPost list whose follow-up rule does not remove the current action. Reorder your statuses to change it. A lead whose status was never set counts as being on the first status of the list. When no such status follows the current one, for example for a lead in Won with the default list, What's next? shows no Move to option.
Do the default status names follow my language?
Yes, until you edit the list. MagicPost shows the default names in English, French, Spanish, Italian, Portuguese or Dutch, depending on your interface language. With another interface language, MagicPost shows the French names, and you can rename them in the editor. After your first saved change, the names stay as you saved them, even if you change the interface language later.
