So filtern und organisieren Sie Ihre Leads

The Leads tab of the MagicPost Leads module lists every lead detected on your posts or added by hand. You narrow the list with quick filter chips, a filter panel and a search box, you display it as a table or a kanban, and you save the combinations you reuse as views. You also plan the follow-up of each lead with one dated next action, and follow-up rules can schedule or remove that action when a lead changes status. The Actions tab of the Leads page lists your next actions, the planned ones and the ones already done. These tools are open to every account with the Leads module, which is included in the Growth, Creator, Agency und Team plans and in the free trial. In an organization, the member needs a seat that includes Leads. The MagicPost Leads page presents the module as a whole.

Choose an ICP or all leads

The ICP selector at the top left of the MagicPost Leads tab decides which leads you see. Pick one ICP to see its leads, or pick View all leads to see every lead across your ICPs.

The choice changes what MagicPost can show. With an ICP selected, the list has the ICP affinity column and the fit chips. In the All leads view, a lead can belong to several ICPs, so MagicPost replaces that column with an ICPs column and hides the fit chips.

Table or kanban

MagicPost displays your leads in two layouts. The toggle at the right of the filter bar switches between Table view and Kanban view. The kanban exists on desktop only: on a phone, MagicPost always shows the table.

  • Table view: one row per lead, with the columns you choose and a checkbox to select several leads.

  • Kanban view: one column per contact status, plus a No status column. Drag a lead from one column to another to change its status.

Quick filter chips

The chip bar above the MagicPost leads list filters in one click. Each chip shows how many leads it matches.

  • All resets every filter and empties the search box.

  • Excellent, Good and Medium filter on the fit level. These chips appear only when an ICP is selected, and you can activate several at once.

  • Status chips filter on a contact status. No status is pinned by default: you pin the ones you want from the status editor. See how to customize your contact statuses.

  • View chips apply a saved view that you pinned.

An Unscored chip is also available in MagicPost. It is off by default: pin it from Customize, then Edit views.

The filter panel

Click Filters to open the full filter panel of the MagicPost Leads tab. A filter applies as soon as you set it, and the top of the panel shows how many leads remain. Click Reset to clear the panel.

  • ICP affinity: the fit level, ICP by ICP.

  • Status: your contact statuses.

  • Next action: Overdue, Today, Upcoming or No action. Under it, Action type: Follow up, Comment or Other.

  • Lead age: how long ago the lead was detected, with preset periods.

  • Already downloaded: All, Yes or No, depending on whether the lead already went out in a CSV export, including an export made by an admin of your organization or by a client of your agency. In the table view, a downloaded lead shows a download icon next to its name. See how to export your leads to CSV.

  • Synced to: the connected tools a lead was sent to. This filter appears once a tool is connected.

  • Tags, Country and Company size.

  • Advanced filters: Followers, Industry, Business areas, Archetypes, Seniority, Account type and Source. The source tells whether the lead was added manually or came from a like or a comment.

MagicPost combines lead filters in a fixed way. A lead must satisfy every filter you set. Inside one filter, a lead matches if it has any of the values you picked. Filtering on two countries and two fit levels therefore keeps the leads from either country that have either level. Most list filters can also exclude a value instead of including it.

Two MagicPost lead filters do not follow that rule. Account type keeps the leads that have every type you ticked. ICP affinity set on two ICPs keeps the leads that match on both ICPs.

The search box of the MagicPost Leads tab looks in four fields: the name, the company, the headline and the job title. The search does not look in tags, emails or comments. The search combines with the chips and the filter panel.

Choose your columns

In the table view, click Customize, then Edit columns, to show, hide and reorder the columns of the MagicPost leads table by dragging. This entry exists on desktop only.

By default, with an ICP selected, the MagicPost leads table shows ICP affinity, Lead, Country, Company, Interactions, Status, Next action, Engagement list, Message, Tags, Status changed, Detected on, Source post and Comment. More columns are available in the picker, such as the city, the followers count and the LinkedIn URL.

The Message column of the MagicPost leads table tracks the messages you copied for each lead from your message templates. On a lead with no copy, its + Message button opens the Personalized message menu. As long as the last copy is not confirmed, the cell asks Sent?, with Yes and a cross, Not sent, which removes the copy. Once the copy is confirmed, the cell shows the name of the message and the day it was sent, and a click opens the same Personalized message menu, where each template you already copied for the lead shows Sent and its day, or Sent?. The column exists on your own Leads page only, not on the organization Leads page. See how to create and trigger message templates.

On desktop, the Status, Next action, Engagement list and Message columns of the MagicPost leads table can be pinned to the right edge. A pinned column stays visible when you scroll the table sideways, and MagicPost shows it last, whatever its place in the column order. Pin a column with the pin icon of its header, or with the pin next to it in Edit columns. Click the pin again, Unpin, to release it. Next action is pinned by default. The other columns are not.

Click a column header of the MagicPost leads table to sort the leads by that column. A second click reverses the order, and a third click goes back to the default order, the most recently detected leads first. Some columns do not sort, such as Engagement list, Message and Tags.

In the kanban view, the same Customize menu offers Edit cards, to choose the fields shown on a card, and Edit columns, to hide a status column. The Next action field of Edit cards is on by default.

Save a view

A saved view in MagicPost Leads stores a complete filter combination under a name.

  1. Set the filters you want in the Filters panel.

  2. Click the bookmark icon, Save this view.

  3. Type a name, then click Save.

A view saved from the Filters panel of MagicPost Leads is not a chip. Apply it from the Saved filters button, the bookmark icon with a counter next to Filters. To turn the view into a chip, open Customize, then Edit views, and switch on Pin as quick filter.

You can also build a view in MagicPost Leads from Customize, then Edit views, with Create a custom view. A view created in that dialog is pinned from the start, so it shows as a chip of the chip bar.

A saved view replaces the filters you currently have, it does not add to them. Saved views, column choices and kanban settings are stored in your browser. MagicPost does not carry them to another browser or another device.

Schedule a next action on a lead

A next action in MagicPost Leads is a dated reminder of what to do with a lead: Follow up, Comment on one of their posts, or Other with a label you type. Each lead has at most one open next action, with a due day and an optional note. MagicPost does not carry out the action and sends nothing to the lead: it reminds you, and you mark the action done.

You schedule a next action in MagicPost Leads from four places:

  • The lead card, the panel that opens when you click a lead. Under the contact status, a lead without an action shows No upcoming actions and a Schedule button.

  • The Next action column of the table view: click the plus button of an empty cell.

  • A kanban card: hover over the card, then click the small + Action button in its bottom right corner.

  • The selection bar of the table view, with Next action, for several leads at once.

The MagicPost next action form has the same fields everywhere:

  • What: Follow up, Comment on a post or Other. Other needs a label. Once scheduled, a Comment on a post action reads Comment in the table, the filters and the Actions tab.

  • When: Tomorrow, In 3 days, Monday, In 2 weeks, or Date to pick a day in a calendar. The form starts on In 3 days. Monday is always the next Monday, never today. A past day cannot be chosen.

  • Note: optional context for whoever does the follow-up.

  • For: the member the action is for. This field only appears to an admin in the view of one member, on the organization Leads page: the admin picks Me or that member. On your own Leads page, a next action is always for you.

Click Schedule to create the next action, or Save when you edit one. A MagicPost next action has a due day, not a time.

The edit form of a MagicPost next action also has a Delete button. MagicPost always asks Delete action? before it deletes the action, wherever you opened the form: the table, the kanban, the lead card or the Actions tab.

Follow your next actions

MagicPost shows each next action with its due day: today, tomorrow, a date, or the number of days overdue.

  • Table view: the Next action column shows the label of the action, its due day and its note. On a lead with a next action, a click on the due day opens Reschedule to, with Tomorrow, In 3 days, Monday, In 2 weeks and a calendar. A click anywhere else in the cell opens the form to edit or delete the action, not the lead card. The round check button and the note keep their own click. On a lead without a next action, the + Next action button of the cell schedules one.

  • Kanban view: the next action sits at the bottom of the card, after a round check button. An overdue card gets a red border, and the column header counts its overdue leads, for example 3 overdue. The round check button marks the action done. A click on the rest of the line opens the form to edit or delete the action. Switching off Next action in Edit cards hides the line, the red border and the count.

  • Lead card: the Next action block sits under the contact status, with its note and its origin: set by hand, created by a rule, or Moved up by a signal. The block has Done, Reschedule and a pencil button to edit or delete the action. On a Follow up action, on your own Leads page, it also has Message, which opens the Personalized message menu. Reschedule opens Tomorrow, In 3 days, Monday and In 2 weeks, with a calendar next to them.

MagicPost counts how many times a next action was pushed back: each time its due day moves to a later day, from Reschedule, the edit form or a bulk reschedule.

Once a MagicPost next action was pushed back twice, its Reschedule menu, on the lead card, in the Next action cell of the table view and in the Actions tab, adds a line such as Already rescheduled 2 times. Close the follow-up? with up to two closing statuses other than the lead's current status, Mark Won and Mark Lost with the default statuses. Picking one moves the lead to that status, whose follow-up rule removes the action. The status change message offers Undo.

The note of a MagicPost next action shows in grey under the action label, in the Next action column of the table view and in the Actions tab on desktop. A long note is cut to the width of the column, and hovering it shows the full text. Click the note to open a small editor that changes the note only: edit the text and click Save, or click Delete to remove the note. MagicPost asks Delete note? first, and the next action itself stays.

For a Comment action, the MagicPost lead card shows the latest post of the lead, with an Open link. When MagicPost sees that you commented on one of the lead's posts after the action was created, the block says so and offers Mark as done. MagicPost never marks the action done by itself.

The Pipeline section of the MagicPost lead card, right under Profile, has a History: the latest actions scheduled, done, removed or moved up, the status changes, and the messages sent, each with its date. A message line reads Message sent: followed by the name of the message, with the start of its text. A copied message shows there only once you confirm it was sent.

Mark a next action as done

In MagicPost Leads, the round check button marks a next action done everywhere it appears: the Next action cell of the table view, the bottom line of a kanban card, and each row of the Actions tab. The action label next to it never marks the action done: a click on the label opens the form to edit the action.

On the MagicPost lead card, the button that marks the next action done is Done. To mark several actions done at once, use the checkboxes of the Actions tab, described below.

In the table view, the kanban and the Actions tab, MagicPost asks What's next? before it records anything. The action is recorded as done only once you pick one of these options, listed in this order:

  • The action set by the follow-up rule of the lead's status, marked rule, when that status has a rule that schedules.

  • Move to followed by the next status of your list, for example Move to In discussion, for a lead who answered. MagicPost picks the first status after the current one that does not remove the current action. When that status has a rule that schedules, the option shows the action the rule will set and its day. A lead whose status was never set counts as being on the first status of the list.

  • Follow up in 3 days and Comment in 7 days, unless the rule already proposes that type.

  • Other..., to fill the next action form yourself.

  • Mark followed by a closing status, for example Mark Won: up to three statuses whose follow-up rule removes the current action, other than the lead's current status. MagicPost marks the action done and moves the lead to that status.

  • Nothing else to schedule, which marks the action done and leaves the lead without a next action.

In the MagicPost What's next? choices, the first option has the focus, so pressing Enter picks it. With Move to, MagicPost marks the action done, then moves the lead to the new status and applies that status's follow-up rule.

Closing What's next? in MagicPost without picking an option changes nothing: the next action stays open. The table view, the kanban and the Actions tab have no Undo button for a done action. Use the keyboard shortcut described below, or the Undo of the lead card.

On the MagicPost lead card, Done records the action as done right away. The block then shows Got it. What's next? with the same options, from the rule's action to Nothing else to schedule, and an Undo button that reopens the action.

The next action you pick in MagicPost What's next? goes to the same member as the action you just marked done. With Move to or a closing status, the follow-up rule of the new status applies, as for any status change.

On the MagicPost Leads page, the keyboard shortcut Cmd+Z (Ctrl+Z on Windows and Linux) reopens the last action you marked done, and Cmd+Shift+Z (Ctrl+Shift+Z) marks it done again. The shortcut does nothing while you type in a field, and it stops working for that lead once another next action is scheduled or deleted on it.

Follow-up rules

A follow-up rule in MagicPost Leads acts on the next action when a lead enters a contact status. The rules live in the status editor: open Customize, then Statuses and follow-up, on your own Leads page. In the Customize statuses dialog, each status is one row, and its rule shows at the right end of the row, in the When a lead enters column, for example Follow up in 2 days or Change nothing. Click the rule to choose, under When a lead enters this status:

  • Schedule an action: an action of the type you choose, due Same day, after 1, 2, 3, 4, 7 or 14 days, or after a number of days you type with Other..., up to 90 days. Delays count calendar days. The editor shows the date a lead entering the status today would get, marked Weekend when it falls on a Saturday or a Sunday.

  • Change nothing: the lead keeps its current next action, if it has one.

  • Remove current action: removes the open next action of the lead.

MagicPost turns on recommended follow-up rules for every Leads account until you change them. Contacted schedules a Follow up in 2 days, In discussion a Comment in 1 day, and To follow up a Follow up in 3 days. Won, Lost and Not relevant remove the current action. Not contacted and the statuses you add use Change nothing. Click Save in the dialog to apply your changes, together with the other changes to your statuses. MagicPost stores them in your account, not in your browser.

MagicPost applies follow-up rules in a fixed order of priority:

  • A next action you scheduled or edited by hand is never replaced by a rule that schedules. MagicPost keeps it and, when the rule would have set another day, offers a Move to button with that day.

  • A next action created by a rule is replaced by the rule of the new status.

  • Remove current action removes the open action, whoever set it.

  • A rule acts only when the status of a lead changes. Creating or editing a rule does nothing to the leads already in that status, and setting the same status again does nothing.

  • A due day never changes a status.

  • An action scheduled by a rule is for the person who changed the status.

MagicPost applies follow-up rules wherever a status changes: the status list, a kanban drag, the selection bar, or the organization Leads page. After a status change on one lead, a message says what the rule did, with an Undo button when it scheduled or removed an action. After a status change on several leads, the message gives the number of actions scheduled, kept and removed, without Undo.

When a MagicPost organization manages your contact statuses, the follow-up rules come with them. The Customize statuses dialog then shows Managed by your organization, with each status and its rule read-only. The admins who manage the shared list edit its follow-up rules from the All members view or a group view of the organization Leads page, with the same Customize menu. Deleting a status deletes its rule, keeps the actions already scheduled, and reassigns its leads without triggering any rule.

Move an action forward when a lead engages

On your own Leads page, the Customize statuses dialog of MagicPost Leads holds one personal setting under the list of statuses: Move the action forward when the lead engages with one of your posts. The setting is on by default. It is saved as soon as you switch it, without Save, and stays editable when your organization manages your statuses.

With that MagicPost setting on, when a lead detection on one of your posts finds a new like or comment from the lead, less than 48 hours old, MagicPost moves a later next action to today. If the lead has no next action and its status has a rule that schedules, MagicPost creates a follow-up due today. A lead found for the first time by that same detection is left alone.

The morning email of due actions

MagicPost emails you your due next actions every morning. The email is on by default for every account with the Leads module. MagicPost sends it at 8 AM in the time zone of your MagicPost account, and only on days when at least one next action on your leads is overdue or due today, whoever it is assigned to. Its button opens the Actions tab of your Leads page. See how to change your time zone.

You turn the MagicPost morning email on or off in two places, which change the same setting:

  • In Settings, tab Notifications, with the Daily action reminders switch.

  • In the Actions tab of your Leads page, with the mail icon at the top right. It opens Daily action reminders by email: switch Email me my daily action reminders on or off, then click Save. A purple dot on the icon means the email is on.

The mail icon of the MagicPost Actions tab exists on your own Leads page only. It is not shown in the view of a member on the organization Leads page, or on a shared link. For an account created with Quick add in an organization, the morning email goes to the owner of the organization instead. See how to use Leads as a team.

See what to do in the Actions tab

The Actions tab of the MagicPost Leads page lists the next actions on your leads, across all your ICPs. The tab comes last, after ICPs, and it is always there, even when no next action is open.

The Actions tab of MagicPost Leads carries a badge: the number of next actions on your leads that are overdue or due today, whoever they are assigned to. The badge is red when at least one action is overdue, and amber when only actions due today are waiting. With no action overdue or due today, the tab has no badge.

The MagicPost Actions tab opens on the open next actions, one row per lead. The Completed actions switch at the top right replaces them with the actions already marked done. Switch it off to come back to the open actions.

Open next actions

On desktop, the list of open next actions in the MagicPost Actions tab is a table with the columns Action, Due date, Lead, ICP affinity and Status, then a Shortcuts column pinned to the right edge. The Lead column shows the name and the company of the lead, with the headline below, and hovering it shows a summary of the lead's profile. The ICP affinity column shows the best fit of the lead across your ICPs, with the ICP that gives it.

In the MagicPost table of open next actions, click the header of a column other than Shortcuts to sort by it. A second click reverses the order, and a third click goes back to the default order, by Due date with the earliest first. MagicPost does not group the rows under due-day headings: to keep one period, use the chips above the list.

In the MagicPost Actions tab, the due day of an action is always a date with its weekday, day and month, for example Thu, Oct 15. The date is red when the action is overdue and amber when it is due today. On desktop, hovering the date shows the due day in words, such as today or 3 days overdue. The order of the day and the month follows your language and country.

The chips and the search box above the open next actions of the MagicPost Actions tab filter the list. Each chip shows its number of actions.

  • All, Overdue, Today and Next 7 days filter on the due day. Only one of them is active at a time. Next 7 days covers the seven days after today.

  • The search box looks in the name of the lead only.

The MagicPost Actions tab has no filter on the action type. To see only the Follow up or Comment actions, use Action type in the Filters panel of the Leads tab, described below.

On desktop, each row of the MagicPost table of open next actions lets you handle the next action without opening the lead:

  • The round check button marks the action done. MagicPost then asks What's next?, as described above.

  • A click on the action label opens the form to edit the action. It does not mark the action done.

  • A click anywhere in the Due date cell opens Reschedule to: Tomorrow, In 3 days, Monday and In 2 weeks on one side, and a calendar on the other to pick any day from today on.

  • Message, in the Shortcuts column of a Follow up action, opens the Personalized message menu. Click a message to copy it. The copy confirmation then offers Follow-up done, which opens What's next?. Copying a message does not mark the action done by itself. See how to create and trigger message templates.

  • Their posts, in the Shortcuts column of a Comment action, opens the lead card on its Interactions tab.

  • Under the action label, a purple line shows the signal that moved the action up: Liked one of your posts or Commented on one of your posts, followed by when, for example 2 days ago. The phone list shows the same line.

  • The More actions button, the three dots of the Shortcuts column, offers Edit action, which opens the form to change the action, and Delete, which asks for confirmation in Delete action? first.

  • The Status column changes the contact status of the lead.

  • A click anywhere else on the row opens the lead card.

On a phone, the open next actions of the MagicPost Actions tab show as a list. Each row shows the action, its due date and the name of the lead, with the round check button. Tap a row to open the lead card, and use Sort by to change the order. Rescheduling from the row, the Shortcuts buttons and the checkboxes exist on desktop only: on a phone, reschedule or edit the action from the lead card.

When no next action is open, the MagicPost Actions tab shows No upcoming actions and a Back to leads button, which opens the Leads tab. The Actions tab stays in place.

Work through today's actions

The Work through today's actions button of the MagicPost Actions tab opens the lead card of each lead whose next action is overdue or due today, one lead after the other. The button shows how many leads it will open. It appears only when at least one listed action is overdue or due today, so it is hidden with the Next 7 days chip on.

The MagicPost list of today's actions follows the search box and the order of the table. With the Overdue chip on, it keeps the overdue actions only, and with Today on, the actions due today only. MagicPost fixes the list when you start, so it does not change while you work.

  1. In the Actions tab, click Work through today's actions. The lead card of the first lead opens, with a Today's actions bar at the top, for example 3 of 8.

  2. Do the action, then click Done in the Next action block and pick the next step in Got it. What's next?. MagicPost then opens the card of the next lead. Rescheduling or editing the action does not move on.

  3. To move on without marking anything done, click Skip, or press J. To go back, click the Previous lead arrow, or press K.

The MagicPost list of today's actions ends after the last lead: the lead card closes and a message says That's it for today, with the number of actions completed when there is at least one. Closing the lead card stops the list at any time. Undo in Got it. What's next? reopens the action and stays on the same lead. The J and K keys do nothing while you type in a field.

Back from LinkedIn

MagicPost asks whether a next action is done when you come back from LinkedIn after one of these gestures:

  • Copying a message or opening the lead's profile from Message, in the row or on the lead card.

  • Clicking Their posts in the row.

  • Opening the lead's latest post with Open, in the Next action block of a Comment action on the lead card.

When you return to the MagicPost window, the lead card shows Follow-up sent on LinkedIn? or Comment posted on LinkedIn?, and its Done button becomes Mark as done. The lead card asks wherever you opened it, for example from the table, the kanban or the Actions tab. In the Actions tab only, the row of that lead also shows Follow-up sent? or Comment posted? in place of its shortcuts, with a Done button.

In the row of the MagicPost Actions tab, Done opens What's next?, as the round check button does. On the lead card, Mark as done leads to Got it. What's next?. The cross dismisses the question.

When you copied a message from Message before leaving, MagicPost also marks that copy as Sent in the thread of the lead once you click Done in the row of the Actions tab or Mark as done on the lead card. Follow-up done, in the copy confirmation, does the same.

After Their posts or Open, when MagicPost sees a comment of yours on one of the lead's posts, the row of the MagicPost Actions tab shows Commented followed by when, for example Commented 5 minutes ago, with the same Done button. MagicPost never marks the action done by itself. It no longer asks once 30 minutes have passed since the copy or the click.

Act on several actions at once

On desktop, each row of the open next actions in the MagicPost Actions tab has a checkbox. The checkbox in the header selects or clears every row of the current page. A selection bar then shows the number of selected actions, three buttons, and a cross, Deselect, that clears the selection:

  • Done marks every selected action done, without What's next?. For each lead whose status has a follow-up rule that schedules, MagicPost then creates the rule's action, for the same member as the action marked done. The confirmation gives the number of actions completed and of follow-ups scheduled by status rules. It has no Undo button.

  • Reschedule opens Reschedule to, with Tomorrow, In 3 days, Monday, In 2 weeks and a calendar, and moves every selected action to that day. The confirmation offers Undo, which puts back the previous days.

  • Remove action asks for confirmation first, for example Remove 4 actions?, then removes the next action of every selected lead. The leads then have nothing scheduled. A bulk removal has no Undo.

Changing a filter or switching to Completed actions clears the selection of the MagicPost Actions tab, so an action hidden by a filter never goes into a bulk change.

Catch up on overdue actions

When 5 or more next actions are overdue, the MagicPost Actions tab shows a red banner above the list, for example 7 overdue actions, with two buttons:

  • Move everything to today gives every overdue action today as its due day.

  • Spread over 5 business days shares the overdue actions out evenly over the next five weekdays, today included when it is a weekday, the most overdue first.

Both MagicPost catch-up buttons count the overdue actions that match the search box. The confirmation offers Undo, which puts back the previous days. The cross of the banner hides it until you come back to the tab.

Completed actions

The Completed actions view of the MagicPost Actions tab lists the actions marked done on your leads, the most recent first. Its columns are Action, Completed on, the day the action was marked done, Lead, ICP affinity and Status, and their headers sort the list the same way, with Completed on, most recent first, as the default order. A click on a row opens the lead card.

The Completed actions view of MagicPost shows the most recent done actions up to a fixed limit, not an unlimited history. Its search box looks in the name, the company and the headline of the lead. The view has no chips and cannot reopen an action.

What the Actions tab does not do

The MagicPost Actions tab cannot schedule a first next action, because a lead without a next action is not listed there. Schedule it from the Leads tab or from the lead card. The tab sends nothing on LinkedIn and marks nothing done by itself, even after Message or Their posts.

The MagicPost Actions tab does not count or list the leads that have nothing scheduled. To find them, pick View all leads in the ICP selector of the Leads tab, open Filters and tick No action under Next action. Add the statuses you follow up under Status, such as Contacted.

The Leads tab of MagicPost also filters on next actions, for example to combine the due day with an ICP or a tag. Open Filters and tick Overdue and Today under Next action, and a type under Action type if you want only one kind of action. Click the header of the Next action column to sort the table by due day. Save the combination as a view if you use it every day.

Act on several leads at once

Tick one or several leads in the MagicPost table view to open the selection bar. The Select all link, which shows the number of leads, extends the selection to every lead of the current list. The selection bar offers these actions:

  • Status and Tags: change the contact status or the tags of the selection.

  • Next action: give the same next action to every selected lead. When some leads already have one, MagicPost says how many and lets you keep their action, the default, or replace it. The button gives the number of actions it will create.

  • Engagement list: add the selected leads to one of your engagement lists, or remove them from it. MagicPost adds only the leads not yet in the list, up to the list's limit, and skips leads without a LinkedIn profile.

  • Send to tools: push the selection to a connected tool. The action appears once a tool is connected. See how to connect your tools.

  • Export: download the selection as a CSV file. See how to export your leads to CSV.

  • Exclude: add the people, or their companies, to your exclusion list. Their leads are hidden, not deleted. See how to exclude people and companies from lead detection.

  • Delete: remove the leads from your list.

The MagicPost selection bar has no action to add leads to an ICP list or to remove them from one.

To act on one lead without ticking it, use the three-dot button, More actions, at the end of its row in the MagicPost table view. That column stays pinned to the right edge of the table. The phone layout of the list has no such menu. The menu names the lead and offers View on LinkedIn, Exclude from leads and Delete. Delete asks for confirmation in Delete this lead? first.

The Next action button of the MagicPost selection bar also removes next actions in bulk. When at least one selected lead has an open next action, its form shows Delete at the bottom left. Delete asks for confirmation, for example Remove 3 actions?, then removes the open next action of the selected leads that have one. The other selected leads are not affected, and a bulk removal has no Undo.

MagicPost does not offer an AI scoring action on a selection of leads. You score a lead from its row, with Score the affinity in the ICP affinity column.

FAQ

Why do the fit chips disappear in MagicPost Leads?

The fit chips need one ICP. In the All leads view, a lead can have a different fit on each ICP, so MagicPost hides the chips. Select an ICP and the chips come back.

Why is there no Low chip?

Because a profile scored below Medium is not a lead in MagicPost. It does not appear in the Leads list, so there is nothing to filter. See understanding lead detection statuses.

How do I see the leads I have not contacted yet?

Filter on the Not contacted status, which is the default preset in MagicPost even if you renamed or moved it. The filter includes the leads whose status was never set. In the kanban view, those same untouched leads sit in the No status column, not in the Not contacted column. If you deleted that preset, the leads whose status was never set match no status filter: find them in the No status column of the kanban.

My saved view has disappeared. Why?

Check the Saved filters button first: a view saved from the Filters panel of MagicPost Leads is not a chip, it sits behind the bookmark icon next to Filters. If the view is not there either, remember that saved views are stored in your browser, not in your MagicPost account. Clearing your browser data, or opening MagicPost in another browser or on another device, shows an empty list of views.

Why did a status change not move my next action?

Because you set that next action by hand, or edited it. A MagicPost follow-up rule that schedules never replaces an action set by hand: MagicPost keeps it and offers a Move to button with the day the rule would have set. A rule that removes the current action does remove it, whoever set it.

Do follow-up rules apply to the leads already in a status?

No. A MagicPost follow-up rule acts only when a lead enters the status after the rule is saved. Turning on or editing a rule creates no action on the leads already in that status. To give them an action, filter the Leads tab on that status and on No action under Next action, select the leads in the table view and use Next action in the selection bar.

Why is my next action still open after I clicked the check button?

Because MagicPost waits for your answer to What's next?. In the table view, the kanban and the Actions tab, the action is recorded as done only once you pick a next step, Move to a status, a closing status or Nothing else to schedule. Closing the popover without a choice leaves the action open.

Why does clicking the action label not mark it done?

Because in MagicPost the action label opens the form to edit the action, in the table view, the kanban and the Actions tab alike. Only the round check button next to the label marks the action done.

Can I undo a next action I marked done?

Yes, as long as no other next action was scheduled or deleted on that lead. On the MagicPost Leads page, press Cmd+Z (Ctrl+Z on Windows and Linux) outside a text field to reopen the last action you marked done. On the lead card, Undo also reopens it right after Done. The Completed actions view of the Actions tab cannot reopen an action.

Can I mark several next actions done at once from the Actions tab?

Yes, on desktop. Tick the rows in the MagicPost Actions tab, then click Done in the selection bar. A bulk Done skips What's next?: each lead gets the action set by the follow-up rule of its status, or nothing when that status has no rule that schedules. To give the same next action to several leads, select them in the table view of the Leads tab and use Next action in the selection bar.

How do I remove the next action of several leads at once?

Use one of two selection bars. In the MagicPost Actions tab on desktop, tick the rows and click Remove action. In the table view of the Leads tab, select the leads, click Next action, then Delete at the bottom of the form. Both ask for confirmation first, for example Remove 3 actions?, and neither offers Undo.

Does MagicPost know when I sent the follow-up on LinkedIn?

No. MagicPost cannot see your LinkedIn messages. When you come back from LinkedIn after Message, the lead card asks Follow-up sent on LinkedIn? and the row of the Actions tab asks Follow-up sent?. You confirm with Mark as done or Done, which also marks the copied message as Sent in the thread of the lead. For a Comment action, MagicPost can spot your comment on the lead's posts, but it still waits for your click.

Why do I get a morning email about my leads, and how do I stop it?

Because the MagicPost morning email of due actions is on by default for every account with the Leads module. It arrives at 8 AM on the days when a next action on your leads is overdue or due today. To stop it, switch off Daily action reminders in Settings, tab Notifications, or use the mail icon at the top right of the Actions tab. The setting is no longer in the Customize statuses dialog.

Why does clicking the Next action cell not open the lead card?

Because a click in the Next action cell of a lead that has a next action opens the form of that action, or the Reschedule to menu when you click its due day. MagicPost opens the lead card when you click anywhere else on the row, for example on the name of the lead.

Does MagicPost send the follow-up for me?

No. A MagicPost next action is a reminder. MagicPost sends no LinkedIn message, invitation or email to the lead, and it does not comment for you. You do the action, then mark it done.
