How to use the knowledge base to teach the AI who you are

The MagicPost knowledge base is the page that holds everything the AI knows about you and how you write: your profile and offer, your documents, your published posts, your writing style and your writing settings. MagicPost draws on it when it generates posts, edits them with AI and generates ideas. The knowledge base serves AI post generation, included in Creator, Agency, and Team and in the free trial.

The knowledge base replaces the AI settings that used to be in the MagicPost Settings page. The Settings page no longer contains any AI setting.

Where to find the knowledge base

  1. In MagicPost, click your name at the bottom of the sidebar to open the profile menu.

  2. Click Knowledge base.

On a phone, Knowledge base is in the MagicPost main menu. On the Growth plan, which does not include AI post generation, MagicPost hides the entry from the profile menu. On a phone, the entry stays in the main menu and the knowledge base page opens behind an Unlock post generation upgrade window.

The three cards

The MagicPost knowledge base page has three cards. Each card holds fields at the top and documents below.

Who you are

The Who you are card describes your background, your offer and your audience. It has five fields: Profile, Summary, Audience, Offer and My story. See how to add your offer and audience.

What you talk about

The What you talk about card holds the material of your posts: your documents, such as notes or client cases, and Your post history, the posts you already published on LinkedIn. The Your post history line only appears when a LinkedIn account is connected to MagicPost.

How you write

The How you write card holds the form of your posts.

How to add a document

  1. On the MagicPost knowledge base page, click Add or drop a document at the bottom of a card.

  2. Choose Write or paste text or Upload a file.

  3. Check the Title of the document, then click Add.

You can also drag a file from your computer and drop it on one of the three MagicPost cards. MagicPost accepts one document per drop.

MagicPost accepts PDF, DOCX, TXT and MD files. The Add a document window shows the maximum file size and the maximum number of files. When that number is reached, the button of each card reads Limit reached.

After the upload, MagicPost analyzes the document and shows Analyzing next to its name. The document is used once the analysis is finished.

How MagicPost files a document

A document added from the How you write card is treated as writing rules. For the two other cards, MagicPost reads the document and files it according to its content: under Who you are, under What you talk about, or under How you write when the document is mostly writing guidance. A document can therefore appear in a different card from the one you dropped it on.

When a document describes you and one of your Who you are fields is empty, MagicPost offers to fill the field from the document. Open the document and click Apply under Can fill out your profile.

How to check what the AI reads in a document

Click a document in the MagicPost knowledge base to open it. The window has up to three tabs.

  • What the AI retains: the summary of the document that MagicPost sends to the AI. Click Edit to correct it.

  • Source text: the text MagicPost extracted from the document.

  • Rules extracted: shown when MagicPost found writing rules or guidelines in the document.

How to switch off the memory, a document or your post history

The MagicPost knowledge base has three switches for the memory, the documents and your post history. Each one stops a different thing, and none of them deletes anything.

  • Memory enabled, at the top of the page, controls the search. Switched to Memory disabled, MagicPost stops searching your documents and your published posts for passages that match the topic. The summary of each active document is still sent to the AI: switch the document off to stop it.

  • Each document has its own switch, labeled Active in the document's menu and also present in the document's window. A switched-off document stays in the list and is no longer used.

  • Your post history has a switch on its line. Switched off, MagicPost stops reading your published posts and keeps using your documents.

The Instructions line of the How you write card in the MagicPost knowledge base carries one more switch, which turns your instructions on or off in the generator. Switched off, the line reads Turned off in the generator, and your saved instructions stay in the list. See how to use specific instructions.

The MagicPost memory switch does not cover the Who you are fields. To generate a post without them, switch off AI context in the generator's Advanced options. To leave your documents out of a single generation, click the AI context line, open the Files tab and switch off Use the files for this generation.

To remove a document from MagicPost for good, open its menu and click Delete. The deletion is permanent.

How to limit which published posts the AI uses

  1. In the What you talk about card, click Your post history.

  2. Keep Use my published posts switched on.

  3. Under Period covered, choose All my posts, one of the recent periods offered, or Since a specific date.

MagicPost saves the choice automatically. Since a specific date is useful after a change of job or of topic, so that older posts no longer feed the AI.

FAQ

I don't see Knowledge base in my profile menu. Why?

There are three possible reasons. Your plan is Growth: MagicPost hides the Knowledge base entry from the profile menu, because that plan does not include AI post generation, included in Creator, Agency, and Team. You are in the admin view of your organization: the profile menu of the admin view does not contain Knowledge base. Or you hold a Growth organization seat: only an administrator of the organization can change the seat. On a phone, the main menu also leaves out Knowledge base on every specialized organization seat without AI post generation.

I don't see an Instructions line in How you write. Why?

The Instructions line only appears once at least one instruction exists. Create your first instruction in the MagicPost generator, under Advanced options, on the Specific instructions line. A document containing writing rules also creates the line.

Does MagicPost read my whole document each time it generates a post?

No. MagicPost gives the AI the summary shown in the What the AI retains tab of the document. With the memory enabled, MagicPost can also pull the passages of your documents that match the topic of the post. Edit the summary if something important is missing from it.

I switched the memory off. Does MagicPost still use my documents?

Yes, in part. With Memory disabled, MagicPost no longer searches your documents and published posts for passages, but the summary of each active document still goes to the AI. To stop a document completely, switch off its Active switch or delete the document.

My document appeared in another card than the one I chose. Is that a bug?

No. MagicPost files a document added from Who you are or What you talk about according to what it contains. A document about you goes to Who you are. Material for posts, such as a client case, goes to What you talk about. A document that is mostly writing guidance, such as a style guide, goes to How you write.

Where is the signature?

The signature is not in the MagicPost knowledge base. Set it in the generator, under Advanced options, on the Signature line.
