Sharing templates with your team
|In a MagicPost organization, an administrator can share a post template with the whole team. The shared template then appears in the Team tab of every member's template picker, ready to generate posts from. Organizations come with the Team and Agency plans.
Only an administrator of the MagicPost organization can share a template. Every member can use a shared template, but nobody other than its author can edit it. For how teams use MagicPost, see MagicPost for employee advocacy.
Where the Team tab is in MagicPost
In the MagicPost sidebar, click New post, then open the Generator tab.
At the top of the generator, switch from Standard to Templates, then click the Template field.
In the template picker, open the Team tab, between My templates and Library.
The Team tab of MagicPost holds every template shared in your organization. You can group its templates by Member, to see who shared what, or by Types.
MagicPost only shows the Team tab when your organization has more than one member with their own login. An account added with Quick add and a pending invitation do not count.
How to share a template with your MagicPost team
Open the MagicPost template picker and go to My templates.
Open the three-dot menu of the template.
Click Share with the team.
A template you have shared carries a team icon in your own list. Hover over the icon and MagicPost reads Shared with the team.
MagicPost only shows Share with the team to administrators of the organization. A member who is not an administrator can create templates for themselves, but cannot share them.
What your team can do with a shared template
A template shared in MagicPost is read-only for everyone but its author. From the Team tab, a member can:
Click Use this template to generate a post from it.
Click the star to add it to their favorites.
Click Copy text in the three-dot menu.
Click Duplicate to get their own copy in My templates, which they can then edit.
A member cannot edit, delete or share again a template of the MagicPost Team tab. To change a shared template, a member duplicates it and edits the copy.
How to stop sharing a template
To withdraw a template from the MagicPost Team tab, open its three-dot menu and click Stop sharing. An administrator sees Stop sharing on their own shared templates and on every template of the Team tab, including a colleague's.
When a template stops being shared, MagicPost removes it from the Team tab of every member and deletes the favorites that other members had put on it. Copies that members made with Duplicate stay in their own templates.
What happens when you delete a shared template
Deleting a shared template in MagicPost removes it for the whole team, with the favorites placed on it. MagicPost has no trash for templates. If colleagues rely on a template, tell them to duplicate it before you delete it.
How the usage counter works on a shared template
On a template shared with the team, the MagicPost usage counter adds up the uses of every member, and its tooltip says how many times the team used the template. Sort the list by Uses to see which shared templates your team works with.
FAQ
Why do I not see the Team tab in my MagicPost organization?
The Team tab needs more than one member with their own MagicPost login in the organization. Accounts added with Quick add and invitations that have not been accepted do not count.
Why can I not share my template?
MagicPost reserves sharing for administrators of the organization. Ask an administrator to share the template, or to give you the Administrator role.
What happens to shared templates if the person who shared them leaves the organization?
Their templates leave the MagicPost Team tab. A member who duplicated one of them keeps their copy.
Can members of my organization see my other templates?
No. Members of your MagicPost organization only see the templates you have shared with Share with the team. The rest of My templates stays private.
I shared a template, then lost my administrator role. Can I still withdraw it?
MagicPost no longer shows you Stop sharing once you are not an administrator. Ask an administrator of the organization to withdraw the template from the Team tab.
