How to set up your organization in MagicPost

When you subscribe to the MagicPost Team or Agency plan, MagicPost creates an organization for you. Before you reach the app, MagicPost asks you to name the organization and to choose whether your own account takes a seat. The other settings, such as the logo, the modules and the default approval mode, are behind the gear icon of the organization pages.

Only an administrator of a MagicPost organization can change its settings. The person who subscribes is the organization owner. For what each plan includes, see everything in the Team plan and everything in the Agency plan.

The first screen after you subscribe

  1. After the payment, MagicPost shows Choose a name for your organization instead of the app. Enter a name, for example your company or your department.

  2. Leave Count my account as a seat on if you will use MagicPost for your own posts. Turn it off if your account only manages the organization.

  3. Click Create organization. MagicPost opens the member list of the admin view.

MagicPost does not accept a very short organization name. The screen says These options can be changed later: the name is changed in the organization settings, and the seat of the owner from the member list.

The Back button of this MagicPost screen skips the setup and opens the app. The organization still has no name, so MagicPost shows the same screen again the next time the app loads.

Team organization or agency organization

MagicPost sets the type of your organization from your plan. The Agency plan creates an agency organization, and the Team plan creates a team organization. You do not choose the type, and the organization settings have no switch to change it.

The type changes a few things in MagicPost. An agency organization lists Accounts and turns on approval mode by default for each account you add. A team organization lists Members, and has a Guidelines page and a team Leads view. See the admin view.

Should your own account take a seat?

With a seat, the owner of a MagicPost organization uses MagicPost like any member: posts, calendar, metrics. Without a seat, the owner's account only manages the organization. An owner without a seat lands in the admin view and has no user view.

The owner can change this later in MagicPost. In the member list, open the three-dot menu of your own row and switch Use a seat. Only the owner sees this switch, and only on their own row. The switch is disabled when no seat is free.

MagicPost limits how often an owner can take a seat back. After a recent change, MagicPost answers Change unavailable and asks you to wait or to contact support.

How to change the name, the logo and the modules

  1. In the MagicPost sidebar, click Admin view.

  2. At the top right of the organization page, click the gear icon. The Organization settings panel opens.

  3. Change what you need, then click Save.

The Organization settings panel of MagicPost contains:

  • Identity: the name and the logo of the organization. The logo is a PNG, JPG or WebP file, and MagicPost refuses a file that is too large. The logo appears in the header of the organization pages. MagicPost does not display the logo on the calendars and posts you share by link.

  • Modules: Leads adds a Leads entry, the consolidated view of the leads, to the Measure group of the admin view. Groups adds the group column, the group filters and the metrics by group.

  • Content approval, in an agency organization: Default approval mode turns on approval mode for each account you add from then on.

A module of the MagicPost organization settings shows or hides a view. A module does not give a member access to a feature that their seat or their plan does not include.

The consolidated Leads view of MagicPost only opens in a team organization. In an agency organization, the Leads switch adds the entry to the sidebar, but the page sends you back to Accounts. See how to use Leads as a team.

How to create groups of members

A group in MagicPost is a label on members, such as a department or a client portfolio. In the member list, click the Group cell of a row, then Manage groups. In that window, you create a group with a name, a color and Create, and you rename a group, change its color or delete it. Create a group is also offered in the Group setting when you add a member.

A member of a MagicPost organization belongs to one group at most. Deleting a group does not remove its members from the organization. Groups then filter the member list, the Activity and Metrics pages, the organization calendar and the reports.

FAQ

I closed the first screen with Back. How do I name my organization?

Reload MagicPost. As long as the organization has no name, MagicPost shows Choose a name for your organization again when the app loads. The Admin view button only appears in the sidebar once the organization has a name.

Can I turn a team organization into an agency organization?

Not from the MagicPost settings. The type of an organization follows the plan you subscribed to. Contact the MagicPost team if your organization has the wrong type.

I subscribed again after canceling. Do I get my organization back?

Yes. If your former members no longer fit in the seats of your new subscription, MagicPost shows a recovery screen. You select the Members to keep and click Confirm and activate the organization. MagicPost removes the members you did not select from the organization.

Why do I not see the gear icon?

The gear icon of the MagicPost organization pages is only shown to administrators of the organization. Ask the owner or an administrator to give you the Administrator role.
